This Privacy Policy explains how Talk2Docs LLC ("Talk2Docs," "we," "us") collects, uses, and shares information when you use our website, apps, and related services (the "Service").

By using the Service, you agree to this Policy and to our Terms of Service, Acceptable Use Policy, and DMCA Policy.

3) How we use information

We use information to:

Provide, operate, secure, troubleshoot, and improve the Service
Process documents, generate AI outputs, and deliver summaries/chat
Communicate with you (Service updates, transactional emails)
Enforce our Terms and Acceptable Use Policy
Comply with legal obligations

We share information with:

Service providers (subprocessors) who help us run the Service, such as OpenAI (AI processing), Supabase (storage), Vercel (hosting), Stripe (payments), and Taddy (podcast transcripts)
Professional advisors (lawyers, accountants) under confidentiality
Law enforcement or regulators when required by law
Another company in connection with a merger, acquisition, or asset sale

We do not sell your personal information.

5) Data handling for AI processing

We process your content with model providers to generate outputs.
We do not permit your User Content to be used to train third-party foundation models.
We configure providers to minimize retention where possible and follow their then-current data-use policies.

6) Browser Storage and Cookies

We use browser storage (localStorage) to remember non-sensitive, client-side preferences on your device (for example, interface view, panel layouts, and whether you've completed onboarding). These values stay in your browser and persist between sessions; we don't read them for tracking across sites. You can clear these preferences anytime by clearing your browser data.

Authentication

We use Clerk for sign-in. Clerk may set strictly-necessary first-party cookies (e.g., session, CSRF) so you can stay logged in and to secure your account. We don't use third-party advertising cookies.

Payments

If you use checkout, our payment processor (Stripe) may set essential cookies needed to complete and secure the transaction.

Because we only use strictly-necessary cookies (for auth/payment) and localStorage for functional preferences, we do not present a cookie consent banner. If we introduce non-essential cookies or similar technologies (e.g., advertising or cross-site tracking), we will add appropriate consent controls.

7) Marketing Communications

We may send you product updates and newsletters with your consent where required by law. You can opt out at any time via the unsubscribe link or by emailing privacy@talk2docs.ai. Transactional or service messages are not marketing and you may still receive them.

8) Data retention

Documents & URLs: kept until you delete them or close your account.
Chat history: retained up to 90 days after last access, then deleted or anonymized.
Account data: retained for the life of the account and up to 30 days after closure (longer if required by law, dispute, or backup/archival integrity).
We may keep minimal logs as needed for security, fraud prevention, or legal obligations.

9) Security

We use reasonable technical and organizational measures (e.g., encryption in transit/at rest where applicable, access controls, monitoring). No system is 100% secure. If we learn of a breach of security affecting personal information, we will notify affected users without undue delay and, where required by Texas law, within 60 days of determining a breach.

10) Your choices & rights

Access, download (export), correct, or delete your information
Opt out of non-essential emails (transactional emails may still be sent)
Submit requests by emailing privacy@talk2docs.ai and include the email tied to your account. We may ask for verification. We aim to respond within 30 days. If you disagree with our response, you may reply and ask for an appeal.

11) State and International Privacy Rights

Depending on where you live, you may have rights to request access, deletion, correction, or portability of your personal information, and to opt out of certain processing (such as targeted advertising or "sale"/"sharing" as defined by law). We honor such requests as required by applicable law. To exercise a right, email privacy@talk2docs.ai from the email associated with your account. We may ask for verification. If we decline a request as permitted by law, you may appeal by replying to our decision.

12) Children

The Service is for users 18+. We do not knowingly collect data from children under 13. If we learn we have, we will delete it and disable the account. If you believe a child under 13 has provided personal information, contact privacy@talk2docs.ai and we will delete it and disable the account.

13) International transfers

We may process and store information in the United States and other countries. By using the Service, you consent to such transfers subject to applicable law.

14) Changes to this Policy

We may update this Policy. If changes are material, we'll notify you in-app or by email at least 30 days before they take effect.
